POSITION OVERVIEW AND PURPOSE
The Import & Export Coordinator schedules and oversees every facet of exports and imports to and from assigned warehouse. This role is responsible for managing and overseeing the movement of products across international borders and ensuring compliance with customs regulations. This process includes manual invoices, Certificates of Origin, and ensure exports and imports are complaint with industry regulations.
ESSENTIAL FUNCTIONS AND BASIC DUTIES
Coordinate shipments and prepare export and import documentation that has been received from the customer.
Work closely with USDA to ensure all requirements are met.
Actively work to ensure orders are advancing including obtaining price and credit approvals for securing product allocation.
Review order details and ensure they are in compliance with Company policies and procedures.
Send complete and detailed instructions to freight forwarder, custom brokers and warehouses.
Develop shipping plan based on order’s timelines.
Actively work with freight forwarder, custom brokers drayage companies and warehouses on scheduling and tracking the status of the orders.
Arrange for pre-shipment inspections as needed.
Monitor container movements for assigned orders (load and empty pickups & loaded drop and empty return at port).
Monitor warehouse container loading process for assigned orders.
Submit EEI (Electronic Export Information) via ACE (Automated Commercial Environment).
Submit information in PHIS if required.
Provide product certifications and other documents to regional offices and customers as needed.
Inform regional sales offices or customers of potential delays or ETA (Estimated Time of Arrival) deviations.
Keep shipping records up-to-date and accurate in the DMS.
Route shipments according to Company policies and monitor shipments throughout the entire journey.
Resolve customer issues in a timely and quality minded manner.
Follow up with forwarder or broker on documentation.
Research issues, obtain supporting paperwork, get approvals, and process credits and/or debits.
Provide coverage for other customer focused team members.
Accurately enter orders in the WMS.
QUALIFICATIONS
High School Diploma or GED required.
Three years of import and export logistics and/or customer service experience in the cold storage industry preferred.
Must possess the ability to pay close attention to details, and demonstrate a pleasant and cooperative personality, even when under pressure to meet deadlines, or when working with difficult individuals.
Strong communication skills with the ability to read and speak English.
Ability to communicate effectively with a variety of individuals.
Must be able to work independently and in teams to fulfill business requirements.
Solid organizational, time management and problem-solving skills are necessary.
Strong sense of urgency and ability to meet deadlines.
Advanced Microsoft Office programs experience (Excel, Word, Outlook) is required.
Requires clerical skills in managing files and records, and other office procedures and terminology.
Must have proficient math skills.
Knowledge of Blue Yonder Warehouse Management System preferred. If none must become proficient within 90 days of hire.
